This notice explains how Samuel Hart Ltd collects, uses and protects personal data about candidates, client contacts and visitors to this website, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).

Information we collect about candidates
When you apply for a role, send us your CV, or we approach you about an opportunity, we may collect:
- your name, contact details and location
- your CV, work history, qualifications, certifications, skills and training
- your current salary or rate, salary expectations, notice period and availability
- the types of role and locations you're interested in
- notes from our conversations and interviews, and feedback from clients
- references, if you give us permission to contact your referees
- proof of identity and right to work in the UK, where this is needed for a role
We don't ask for sensitive information (such as health, ethnicity or religion) unless it's needed, for example to make reasonable adjustments for an interview. If we do need it, we'll explain why and handle it with extra care.
Where we get it from
- From you: when you email us, call us or apply for a role.
- From job boards and CV databases where you've made your CV available to recruiters.
- From professional networking sites such as LinkedIn, where your profile is publicly visible.
- From referrals: people who recommend you to us, and referees you've named.
If we got your details from someone other than you, we'll tell you when we first contact you, and you can ask us to delete them at any time.
How we use it, and our legal basis

We never sell your personal data or use it to make automated decisions about you.
Client contacts
If you're a hiring manager or work at a business we recruit for, we hold your name, job title, business contact details and records of our dealings with you. We use this to manage vacancies, send candidate profiles, and invoice and keep business records. You can ask us to stop contacting you at any time.
Who we share it with
- Client employers, when you've agreed to be put forward for their role.
- Referees, when you've asked us to contact them.
- Service providers who help us run the business, such as email, phone, IT, cloud storage and recruitment software providers. They can only use your data on our instructions.
- Professional advisers and authorities (such as accountants, lawyers, HMRC or regulators) when needed, or where the law requires it.
Transfers outside the UK
Some of our service providers store data, or our team accesses it, from outside the UK. When that happens we make sure appropriate safeguards are in place, such as UK adequacy regulations or the ICO's approved international data transfer agreements, so your data stays protected to UK standards.
How long we keep it
- Candidate records: up to two years after our last meaningful contact with you, then deleted, unless you ask us to keep them longer.
- Records of placements and introductions: for at least as long as the law requires (at least one year under the Conduct Regulations) and up to six years for tax, accounting and legal purposes.
- Client contact records: for as long as we have a business relationship, then up to six years for accounting and legal purposes.
Keeping it secure
We use password-protected, access-controlled systems. Only people who need your information can see it, and we only share CVs with clients through business email.
Your rights
You have the right to:
- ask for a copy of the personal data we hold about you
- have inaccurate information corrected
- have your data deleted
- object to us using your data, including for keeping in touch about roles
- ask us to restrict how we use your data
- receive your data in a portable format, in some circumstances
- withdraw your consent at any time, where we rely on consent

This website
This website doesn't use cookies, analytics or tracking. It loads its fonts from Google Fonts, which means your browser's IP address is sent to Google when the page loads. If you email us through a link on this site, we treat that email as described above.
Complaints
If you're unhappy with how we've handled your data, please contact us first and we'll try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
